ADMISSIONS POLICY

Apex is open to Military/Government (US and Overseas), Industry Partners, Industry Participants, and Media.

Participants should be engaged in legitimate areas of defense and associated industry, the government, equipment procurement organizations, defense colleges and research establishments.

Anyone wishing to participate at Apex (including those who are participating as Partners) must pre-register via the Apex website and include the Partner Guest Code. Registrations should be completed as soon as possible to ensure there is adequate time to process the application prior to the event.

By using a Partner Guest Code to register, you are permitting the inviting company to contact you with relevant Apex information.

Please note that media must apply online to comply with the accreditation process, which includes providing photographs for badges.

During Apex (January 28 - 29, 2025) there will be limited onsite registration facility.

 

No personal firearms or ammunition are permitted at Apex 2025

Weapons storage is not available for personal firearms.

Attendees, including law enforcement personnel not present in an official capacity, are prohibited from bringing weapons into the venue.

Any person licensed in District of Columbia to carry a concealed weapon is hereby notified that they shall not carry their firearms during Apex 2025.

Anyone possessing prohibited items will be asked to remove the item from the venue. Participants who refuse to comply will not be permitted entry into the venue.

 

GENERAL

All partners, participants, guests, partner support contractors, and service providers should pre-register. Their names will be subject to a security clearance process.

Cancellation and Substitution policy: Please note it is not possible to cancel participant places once these have been booked. Participant registration fees are non-refundable. No refunds are given to any booking fees or administration fees made for Apex.

If any participant is unable to attend, we will accept a substitute participant at no extra cost. Please notify us in writing by emailing customersolutions@apexdefense.org person. Participants should be involved in or have some legitimate connection to defense or associated industries.

All partners, participants, guests, partner support contractors, and service providers acknowledge that only the Organizer’s official admission badge, worn by the person named on it, will permit admission (as the Organizer’s licensee) into Gaylord National Resort & Convention Center/Apex 2025. The badge remains the property of the Organiser and has a notional value of 0.01p.

No person named on the badge or the company, firm or business, which that person represents, may permit the badge to be worn by another person. The wearing of a badge under these circumstances will constitute appropriation, an automatic termination of such license and will be sufficient grounds for the unauthorized individual to be removed from Apex. It may also lead to prosecution. Identity checks will be conducted as a condition of entry.

All persons attending Apex should carry and produce on request a supporting personal photographic identity document - passport, photo- ID, military ID, driving license, national identity document or similar.

Any person found to be registering to attend Apex using false information or credentials or deliberately with-holding information will have their application automatically denied and may be liable to prosecution.

Without prejudice, the Organizers reserve the right to exclude any person(s).

No photography or filming of Hubs/Pods/Lounges is allowed without the expressed permission of the Partner. Partners are allowed to photograph and film their own areas.

Closed Circuit Television Cameras (CCTV) will be in operation at all times during Apex.

The Organizers reserve the right to deliver the CCTV recordings to the Police or other competent authority as evidence if requested to do so. The contents of such recordings may be used as evidence in a court of law.

The Organizers reserve the right to film/permit approved third party filming across the show open days of Apex. By attending Apex, participants permit the Organizers/approved third parties to use any footage taken.

No sponsorship, promotional, marketing, political, or any article to be used for a commercial or a charitable purpose or prohibited materials may be brought into, used or displayed by any person inside Apex without the express written permission of the Organizers. Any person in possession of non-permitted items will be refused entry to or ejected from the venue and site. Prohibited items include knives, fireworks, explosives, smoke canisters, aerosols, air-horns, noisemakers, flares, weapons, dangerous or hazardous items, illegal substances, laser devices, bottles, glass vessels, cans, poles, or any article that may compromise public safety or which may pose a hazard or nuisance to any other person.

Canvassing is not permitted.

Participants should be aware that export control regulations may apply to products based upon both U.S. legislation and legislation from the territory of origin of the Partner. Such legislation or regulations may cover the exportation of goods, the transfer of technology, the provision of technical assistance overseas and activities connected with trade in controlled goods. Participants whose activities may be impacted by such legislation or regulations are required to ensure they have the necessary licenses and mechanisms in place.

Any attendee who at the sole discretion of the Organizer is deemed to be engaging in controlled business or activity during the exhibition and who is not in possession of relevant trade control licenses may be subject to action on the part of the Organizers including revocation of the application to attend and expulsion from the event. The relevant authorities will be informed of any such activity, which may result in legal action being taken against the visitor by these authorities. Participants expelled from the event will have no claim for redress against the Organizers, nor any refund for loss of fees.

All persons attending Apex must wear business or service dress.

No person under the age of 18 years, including children of exhibitors, will be admitted during the tenancy period.

I understand that by choosing to allow my badge to be scanned by a Partner when at Apex, I will be providing the Partner with my personal data. I consent to this personal data being used to contact me about their products or services and understand that this partner may transfer this data outside of the United States for these purposes and I consent to such a transfer of my data. I also understand and agree that my personal data may be held and used by the organizer of this event Clarion Events Ltd, and any third party hosting provider acting on its behalf, in order to run the event and for analyzing partner traffic with a view to improving the Apex experience for participants.
